Simple, fast and scalable document archiving

Designed for organisations that value simplicity and scale, DocDeposit keeps archives findable, reliable, and ready for growth.

Clarity over complexity

When documents live in many places, teams spend time hunting for the right file, re-keying metadata, and explaining audit trails. Scanned PDFs are hard to search, and multilingual content adds friction. DocDeposit helps you get ahead of those problems by making ingestion and findability predictable — without locking you into a single vendor stack.

  • Every document where it should be

DocDeposit is a modular archiving tool designed for organisations that need to manage large volumes of documents reliably, without unnecessary complexity. By preparing, ingesting, and enriching documents with explicit metadata, it ensures that archives remain searchable, consistent, and compliant with retention requirements.

  • Stay ahead of audits and regulatory reviews

A user-friendly WebGUI for quick access, a PostgreSQL database for metadata storage, and a flexible object store backend that supports S3 protocols. This design allows DocDeposit to scale from thousands to millions of documents, while keeping governance simple with configurable retention times to meet regulatory needs.

  • Don’t let document volume slow you down

With features for structured ingestion, metadata enrichment, and straightforward retrieval, DocDeposit makes it easier for organisations to locate the information they need, when they need it—supporting both operational efficiency and long-term compliance.

⏤ What DocDeposit is not

We firmly believe that DocDeposit is a really awesome tool. But to help you better understand its specialised role in a document management strategy, it is important to understand the limitations of its capabilities. These are some examples of what DocDeposit is not:

  • Document editing tool

DocDeposit excels at organising, storing, and retrieving documents, but it does not offer editing or content creation features. If you're looking for an online document editing tool, these are some of our top open source picks ->

  • Content management system

While it provides robust archiving and retrieval functions, it was not designed to be a full-fledged CMS. It focuses specifically on archiving and enhancing document accessibility, rather than managing the entire lifecycle of digital content.

  • Collaboration platform

DocDeposit does not include collaboration tools such as real-time editing, commenting, or team communication features. It is designed to securely archive and organise your documents, not to serve as a platform for collaborative document creation.

  • Data backup solution

While DocDeposit securely stores your documents, it is not intended to be a comprehensive backup solution for all types of data. We recommend using dedicated backup services for full system backups and disaster recovery.

  • File conversion service

DocDeposit handles documents in their existing formats and enhances them with metadata, but it does not convert files from one format to another. For file conversion, you can use specialised tools which are easily integrated via API ->

  • A CRM or ERP system

Although DocDeposit can integrate with various enterprise systems ->, it is not a CRM or ERP solution. Its primary purpose is to archive and make documents easily accessible, rather than managing customer relations or enterprise resources.
